The shared inbox that lives inside Gmail.

support@sales@orders@accounts@info@

Team email becomes a visual workflow — every conversation gets an owner, a status and a deadline, and everyone sees the whole thread, even if they were never copied.

No forwarding. No CC chains. No ticket numbers. No new app to learn.

How a shared inbox should work

Everyone sees the whole conversation — without forwarding it.

Most tools “share” email by making more email: forwards, CC chains, a shared login. Sortd upgrades Gmail itself into a team construct — so a teammate who joins a board or a shared inbox sees the entire thread from message one, whether or not they were ever copied.

You’ve been emailing a customer back and forth for weeks. Drag the conversation onto a board and assign it to a teammate — they see every message between you and the customer from day one, instantly. No forwarding a 40-email chain. No “see below.” No gaps.
Team read & unreadAn email assigned to you stays unread for you until you open it — even if a teammate already looked at it. Nothing on your plate ever looks handled when it isn’t.
  • Forgot to CC a colleague? Doesn’t matter. If they’re on the board, they open the card and see the whole exchange.
  • Customer replied to only you? Doesn’t matter. Your colleague watches the reply land on the board.
  • Membership of the board is the CC. The forgot-to-copy-someone problem, solved structurally rather than by discipline.
  • Managers get visibility that exists no other way — who owns what, what’s moving, what’s about to be dropped.
  • Handoffs carry complete context — between people, and between people and AI agents.

Gmail × Trello · the original visual workflow for email

Turn emails into a visual workflow — without leaving Gmail.

If Gmail and Trello had a love child, it would be Sortd — the tool that pioneered the visual workspace inside the inbox. But it’s not a Kanban board bolted onto email: most teams live in Message View, the familiar Gmail list with ownership added, and switch to the board when they want the pipeline.

Watch it organize itself
Your inbox is ordered by when things arrived. Your board is ordered by what matters. Drag any email into a lane — one motion — to prioritise it, park it, or turn it into a task. Rename the lanes, add your own, or build a pipeline per team.

Where Sortd fits

Four ways teams try to run a shared mailbox. Only one of them is still Gmail.

Every team handling support@ or orders@ ends up choosing between forwarding, a Google Groups collaborative inbox, a separate helpdesk — or a workspace built into the Gmail they already use. And most of what Sortd does day to day, the other three don’t even have a row for.

Straight answers

Common questions about shared inboxes in Gmail.

Is Sortd a shared inbox for Gmail?

Yes. Sortd turns Gmail addresses like support@, sales@, orders@ and accounts@ into true shared inboxes: every conversation has an assigned owner, a status, a deadline and a place on a board. Your team keeps working in Gmail — there is no separate client, no migration and no mailbox to provision.

How is this different from a Google Groups collaborative inbox?

Groups is fine for announcement lists. As an operational mailbox it has no real ownership, no statuses beyond assigned and resolved, no views, no deadlines, no SLA and no AI — and replies scatter into personal threads. Sortd adds all of that to the same addresses. Full comparison.

Do we need a helpdesk instead?

Many teams find they don’t. Shared inboxes, message views, statuses, SLA rules and a built-in CRM cover what a helpdesk was bought for — without customers ever seeing a ticket number, and without moving your team into a second application. For large omnichannel support organisations, a full platform is still the right answer.

Can one person use Sortd, or is it teams only?

Both. Professionals run personal boards, a day planner, grouped email threads and follow-up tracking on their own inbox — no team required. Shared inboxes, assignment and SLA rules switch on when a team forms around the work. You don’t have to pick up front.

Do we have to change our email addresses?

No. Sortd is a verified Google Workspace app that works on the Gmail accounts and domains you already operate. Nothing moves, nothing is copied to another system, and your existing history stays exactly where it is. Setup takes about two minutes per person.

What about AI and AI agents?

Sortd AI reads the shared inbox — smart status, urgency, sentiment and complaint detection — included in the plan under a fair-use policy, with no credits or per-resolution charges. On Business you can also connect your own agent through the API and MCP. Sortd for Agents →

Sortd AI

Sortd AI reads the inbox. Gmail still writes the email.

We don’t think you need another tool trying to write your replies — Gmail already does that well. Sortd AI does the job a shared mailbox actually needs: working out what just arrived, how urgent it is, who should own it, and what’s about to be dropped.

Smart Status

Every message lands in a clear state, so the team sees what needs a reply and what’s already handled — at a glance.

Already using Gemini in Gmail? Keep it.

Google has built the best drafting assistant for Gmail, and it’s already in your inbox. We don’t compete with it. Draft with Gemini in your own voice, exactly as you do today — Meet recordings and summaries keep working too.

Sortd picks the draft up from there: it’s tracked on your board, given an owner, and followed up until it’s actually sent. No rip-and-replace. No second inbox. You approve every send.

For teams going further

And when you’re ready, your AI agent gets a seat too.

The same shared inbox your team works, opened to the agent you already use. Your agent triages, classifies, extracts and drafts; your people approve, own the customer and keep the audit trail.

  • Connect any agent — Claude, ChatGPT, Gemini, Cursor or whichever you already pay for. Never locked into one company’s agent.
  • Drafts by default — sends only under the permissions you grant, with every action logged.
  • No new infrastructure — one API key on your existing Workspace. No Google Cloud project, no OAuth review, no DNS, no warm-up.
